A formal letter should start with the recipient’s last name. For a letter to a business contact, you should begin with the company name. You may add a company address to the second line. You may also add a department name.
A letter should be three to four lines long, with the last line containing the city, state, and zip code. If the letter is sent to a foreign country, you will need to include the country’s name. In some cases, the recipient may not have a street address, in which case you may need to include an apartment building or suite number. If you are sending letters to a PO box, you will need to include the box number.
A letter should be addressed in capital letters, using the proper punctuation. For example, if you are writing a letter to the United States, you should begin with the recipient’s name and address. A salutation should be written after the recipient’s name. For example, if you are writing to a friend, you should use the salutation “Dear”. If you are unsure about the gender of the recipient, you should write “Dear Madam.” You can also use the informal salutation “Dear Sir.”
You should use a legible font, but you do not need to be meticulous. An easy-to-read font is Helvetica. The next line of the address should include the recipient’s street address, followed by the city and state. The fourth line should contain the country name, followed by the zip code.
If you are writing to someone in the United States, you will need to include a zip code. You can also add the recipient’s city, state, and ZIP code on the last line of the address.
If you are writing to someone in another country, you should include the country name and the country’s postal code. In some cases, the recipient may not know the postal code, in which case you should include a dash after the country’s name. Using all caps helps the letter travel more easily.
You should also include the address of the sender in your letter, but you do not need to include the address of the sender’s company. The sender’s name is usually written in the top left corner of the envelope. You may also write it on the back flap. This is also known as the “return address.” If the address is wrong, you will not be able to get the letter back.
You should also include the date and the month in your letter. You can write the date as November 15, 2020, or November 15, 2019. You should also include the day of the month and the day of the week.
